Frequently Asked Questions on Printing    

Q. How can I print a single (or group) of forms for a recipient?
A. Select Print Menu > Select Print Options > Select Recipients. Check the recipients you want to print, then print your forms.
Q. How can I print my forms in alphabetical order?
A. Select Print Menu > Select Print Options > Select Recipients. Sort the list by clicking on the header row of the column you wish to sort by (Employee Name, Taxpayer ID, etc.). Select all recipients by clicking on the header row of the "Select Column". Proceed to print what forms you want.
Q. How can I print forms with my dot matrix printer?
A. Select Print Menu > Preprinted Forms > Copy A. Continuous forms can only be printed with single wide forms.

Q. I don't like having to print each form copy separately. Can I print all required copies with one command?

A. Yes. Go to Print Menu > Batch Process. Your forms will print according to your batch processing flags for that form.
Q. Data on my preprinted forms is slightly out of adjustment. Can I change this?
A. From the Print Menu, select adjust print positions. Make your adjustments, check your work, and reprint your forms.
Q. Data on my plain paper forms is slightly out of adjustment. Can I change this?
A. No. Data on laser forms is "hard coded" with the form itself.
Q. My printer spits out blank papes between plain paper forms. What causes this?
A. This will occur if the printer has a large unprintable error, or bleed, around the page. Some printers (but not all) will print a blank page if a print command is received to print in this area. Try to change printers to a laser printer, which have smaller margin requirements, if possible.
Q. When I print, the program gives me an error 482. What can I do?
A. Download an updated printer driver for your printer from the internet site of the printer manufacturer. Install the print driver, print a test page, and try again.
Q. Can I submit a plain paper copy A to the IRS like the W-2 module?
A. No, you must either mail the "red" Copy A or submit your reports electronically or by diskette.
Q. I want to print all Forms 1099, rather than just those who exceed the minimum amount prescribed by the IRS. How can I do this?
A. Go to the Print Menu > Select Print Options > Set Threshold Amounts. Enter the amount you want, set it, and proceed to print your forms. *Note Threshold holds only for that current section, once printed it resets itself and you have to set it again.
